Terms of Service

These terms are conservative draft language written for the controlled beta. Final legal review is required before BID MACHINE bills customers.
1. What BID MACHINE does
BID MACHINE reads commercial janitorial solicitation documents you upload, extracts the requirements it can cite to a specific file and page, compares them to the company profile you provide, and produces first-draft bid materials. It is a drafting and analysis tool. It does not submit bids on your behalf.
2. Controlled beta
The service is currently offered as a controlled beta. Delivery of a purchased bid package is within 24 hours of a verified order, after a member of our team has reviewed the generated package. We do not promise instant delivery, and we do not release a package we have not reviewed.
3. What you remain responsible for
You are solely responsible for final pricing; all signatures, initials, and notarization; every certification, attestation, and legal representation; the accuracy and completeness of everything submitted; meeting all deadlines; and the method and delivery of your submission. BID MACHINE flags these as customer actions and never completes them for you.
4. Truthfulness rules we hold ourselves to
BID MACHINE will not state a fact about your company unless it appears in the company profile you supplied. It does not invent credentials, certifications, licences, references, insurance limits, bonding capacity, staffing numbers, experience, pricing, signatures, or legal representations. Anything it cannot verify is surfaced to you as an action item rather than written as fact.
5. Not legal or professional advice
Nothing produced by BID MACHINE is legal, financial, insurance, or professional procurement advice. Solicitation terms are legally binding on you; consult your own advisors where that matters.
6. Accuracy limits
Documents vary widely in quality. Scanned or image-only pages, encrypted files, and malformed archives may not be readable at all; we tell you plainly when that happens rather than guessing at content. Extraction may miss or misread requirements. You must review the solicitation yourself before submitting.
7. Acceptable use
Upload only documents you have the right to share with a service provider. Do not upload classified material, or personal data beyond what a solicitation ordinarily requires.
8. Fees
Analysis and the fit score are free. A full bid build is a one-time $199 USD charge per solicitation. There is no subscription. Refunds are governed by our refund and fulfillment policy.
9. Limitation of liability
To the maximum extent permitted by law, BID MACHINE's total liability arising from the service is limited to the amount you paid for the affected order. We are not liable for lost contracts, lost profits, rejected bids, missed deadlines, or indirect or consequential damages.
